How do I reopen an overdue activity for a user?
When a user misses the due date for an Activity, the Activity is automatically marked as overdue and the user shows as out of compliance. This guide walks you through reopening overdue Activities, whether you're resolving a single Activity or several at once.
What You'll Need:
- Administrator access to your Kinatico account
Step-by-Step Instructions
Step 1: Locate the Overdue Activities
- Select My Actions from the main navigation
- Select the Users tab
- Select the Escalations tab
- Select the Overdue button to filter the list
- Find the overdue Activity or Activities you want to reopen
To reopen a single Activity:
- Select the three dots on the overdue Activity
- Select Resolve from the dropdown menu
To reopen multiple Activities at once:
- Select the checkbox next to each Activity you want to reopen.
- Select Resolve (with comment) in the selection bar that appears
Step 2: Reopen the Activity
- In the Resolve popup, click the Select dropdown under Resolve, then select Remind
- In the comment field enter a clear reason for reopening the activity
- Select Submit to process the action
- Select Confirm when prompted to verify you want to reopen the activity
💡 Pro Tip: Under Notifications in the main navigation you'll get notified if an activity becomes Overdue. From the notification you can select Review Now and then Resolve (with comment) to jump straight to Step 2.
💡 Pro Tip: If you have several overdue Activities to reopen with the same reason, bulk select all of them using the checkbox next to Activity name and resolve them together in a single action, rather than repeating Step 1 and Step 2 for each one individually.
What Happens After Reopening?
For the User:
- The activity becomes accessible again for completion
- They receive a notification that the activity has been reopened
- No new due date is set, allowing flexible completion
For Administrators:
- The user remains marked as out of compliance until a response has been submitted
- The activity status updates to reflect the Reminded state
Common Questions
Q: Will reopening an activity change the user's compliance status immediately? A: No, the user will remain marked as out of compliance until they successfully complete and submit the reopened activity.
Q: Can I set a new due date when reopening an activity? A: The reopen process doesn't set a new due date. The activity will remain open until completed or manually closed by an administrator.
Q: Can I reopen more than one Activity at once? A: Yes. Select the checkboxes next to each Activity you want to reopen, then select Resolve (with comment) to action them together, rather than resolving each one individually.
