How do I manually add Kinatico Compliance app users to the User Directory?
Before you can send activities to a Kinatico Compliance app user, they must be in your User Directory.
What You'll Need:
- Administrator access to the Kinatico Compliance portal
- Have pre-configured the department the user will belong to on your account (see How do I set up my User Directory’s labels?)
- Users key details (Employment Type, Primary email address, First and Last Name, Birth Date, Gender)

Instructions
Step 1: Select User Directory under the Organisation section of the main navigation
Step 2: Initiate User Addition
- Click the +Add button
- From the dropdown menu, select User
Step 3: Enter the User's Employment Type
- Select the User Employment Type from the dropdown (Pre-Employment/Full-time/Part-time/Casual/Contractor)
- Enter the Primary Email address (this is the address that the Kinatico Compliance app user will receive their invitation)
Step 4: Enter User's Basic Details
- Enter the user's First Name
- Enter the user's Last Name
- Enter the user's Gender
- Enter the user's Birth Date
Step 5: Enter User's Address Details
- Enter the users address (Street Address, Postal Code, Country)
Step 6: Enter the User's Organisation Details
If the user type was set to Pre-Employment:
- Select the users Direct Report to appear in the org chart (Optional)
- Select the users Admin Report (Optional)
If the user type was set to any of the other user types:
- Enter the user's Position (official title is recommended, this will appear as their occupation on a police check)
- Select what User Directory labels (Role, Department, Group, Location) should be tagged to the user's profile. Department is the only required label, if the desired department is not visible, see article How do I set up my User Directory’s labels?)
- Select the users Direct Report to appear in the org chart (Optional)
- Select the users Admin Report (Optional)
- Enter the user's Hire Date
Step 7: Send the invitation
- Click Add to add the user to the User Directory.
Recommended next steps:
- Invite user(s) in the User Directory to download the Kinatico Compliance app by sending them an activity to complete.
‼️IMPORTANT: New users in the User Directory do not receive any email correspondence until they are invited to complete an activity.
Common Questions
Q: What happens after I add a user to the User directory? A: You will now have the ability to assign activities to the user for completion. When the first activity is assigned, the user will automatically receive an invitation email to their primary email address, inviting them to access the Kinatico app and begin their compliance journey.
Q: Can I add multiple users at once? A: Currently, users are added individually through this manual process. For bulk uploads, you will need to add users through the HRIS integration option.
Q: What if I make an error in the user details? A: User details can be edited after creation. Simply locate the user in your User Directory List view and select their profile to make necessary amendments.
Q. How do I confirm the user has been successfully added? A: Navigate to the User Directory, select List view, locate the newly added user in your user directory.
Troubleshooting
Issue: User not appearing in User Directory List
Solution: 1. Refresh your browser page 2. Check you've clicked "Next" to save the user details 3. Verify you're viewing the correct User Directory section.
Prevention: Always click "Next" after entering user details and wait for the confirmation message before navigating away.
Issue: User reports not receiving invitation email
Solution: 1. Verify the primary email address is correct in the user's profile 2. Check the user's spam/junk email folder 3. Resend the invitation through the user's profile settings
