How do I see the compliance status of an individual?

Every organisation needs complete visibility over their workforce compliance status. This guide explains how Kinatico Compliance determines individual compliance status and where you can see this.

Step-by-Step Instructions


Step 1: Navigate to the Compliance view

  • Select Insights from the main navigation

  • Select Compliance View in the top left corner


Step 2: Find your group/individual of interest

  • Adjust the View by selection to see the compliance status for each Department/Group/Location/Role/User
  • If viewing the compliance status for a Department/Group/Location/Role: Select the three-dot icon then Insights:[Name] to see the compliance status of each individual in the group
  • If viewing the compliance status of an individual: Select the three-dot icon then Insights:[Name] to see which Activities they have failed to complete

How Compliance Status is Determined

Kinatico uses a simple, reliable system to assess individual compliance status.


Default Status: Compliant ✅

Every individual starts as "Compliant" and maintains this status when:

  • All assigned activities are completed on time
  • No activities have failed verification
  • All requirements are current and valid

This approach ensures your compliance dashboard reflects real-time accuracy, giving you confidence in your workforce status.


Out of Compliance Status ⚠️

An individual's status changes to "Out of Compliance" when either:

1. Overdue Activity - Any assigned activity remains incomplete past its due date - System automatically updates status at midnight on the due date - Status persists until the activity is completed successfully

2. Failed Activity - An activity submission doesn't meet required standards - Verification process identifies non-compliance issues - Manual review determines inadequate completion

💡 Key Insight: Compliance status is binary - individuals are either compliant or they're not. This clarity eliminates ambiguity and supports decisive compliance management.


Special Circumstances: Deferrals and Exemptions

When a deferral/exemption request is submitted:

  • Individual remains "Compliant" whilst deferral/exemption is under review
  • If a decision isn't made before the original due date, status automatically changes to "Out of Compliance"
  • Status updates immediately once deferral/exemption is approved or denied

⚠️ Important: Timely review of deferral and exemption requests prevents unnecessary compliance status changes and maintains accurate workforce visibility.


Common Scenarios Explained


Scenario 1: New Employee Onboarding

Situation: New team member with 30-day compliance activities

Status Logic:

  • Days 1-29: "Compliant" (activities not yet due)
  • Day 30+: "Out of Compliance" if activities incomplete/failed

Scenario 2: Annual Certification Renewal

Situation: Staff member's annual safety certification expires

Status Logic:

  • Before expiry: "Compliant"
  • After expiry: "Out of Compliance" until renewed

Scenario 3: Deferral Request Management

Situation: Employee requests deferral for training due to illness

Status Logic:

  • During review: "Compliant"
  • If undecided past due date: "Out of Compliance"
  • Upon approval: "Compliant" with new due date
