How do I create a Segment?
Instead of assigning activities to people one by one, Segments let you define the compliance requirements for a group of people — and the system automatically assigns, updates, and removes activities as your people move through their roles. So your organisation stays compliant, without the admin overhead.
Before You Start
What You'll Need:
- Administrator access to the Kinatico portal with the Assign and Manage Activities permission
- Organisational labels already configured in your Directory (roles, departments, locations)
- A clear understanding of your organisation's compliance requirements by role or group
Time Required: 2 minutes per segment
💡 Pro Tip: Map out your compliance requirements matrix before building your Segments. This makes setup faster and ensures your Segments reflect your organisation's real-world structure.
Instructions
Step 1: Navigate to Segments
In your Administrator Portal, go to Manage Activities→ Segments and select + Create Segment.

Step 2: Name Your Segment
Give your Segment a clear, descriptive name that reflects the group it represents (e.g. Site Supervisors – WA, Healthcare Casuals, Remote Engineers).
Step 3: Select Your Directory Labels
Drag and drop the label or combination of labels that define this Segment.
- Single label: The Segment applies to anyone with that one label on their profile.
- Multiple labels: The Segment applies only to users who have all of the selected labels on their profile. This lets you create highly targeted compliance groups.
⚠️ Important: Directory labels must be created before you can build Segments. See How do I setup my Directory labels? for instructions on how to do this.

Step 4: Configure Required Activities
Drag and drop the compliance activities this Segment requires. For each activity you can configure:
- Target users: Users, candidates or both
- Cadence: One-off or recurring (e.g. weekly, yearly) with a set end date
- Due date: Number of days the activity is due after assignment


Step 5: Preview Affected Users and Activate
- Before activating your Segment, the system will display a list of all users whose profiles currently match the label criteria. Review this list to confirm the right people will be assigned the Segment's activities before proceeding.
💡 Pro Tip: This preview is your opportunity to catch any incorrect label assignments on user profiles before activities are assigned at scale.
- Click Activate to activate the Segment and carry out the activity changes.
